How far in advance should I book managed check-in services in Hong Kong?
We recommend booking at least 2-3 weeks before your event for Fully Managed services. This allows time for consultation, staff scheduling, and badge design review. For Supported Setup, 1 week is typically enough. Last-minute bookings may be possible depending on staff availability. WhatsApp us to check.
How many event registration staff do you provide per event?
Staffing is scaled to your event size. As a guideline: 1 registration staff per 100-150 attendees, plus 1 senior technician. For a 500-person conference at HKCEC, you would typically have 3-4 registration staff and 1 technician. We will recommend the exact crew in your quote based on event type, duration, and attendee flow.
Can your staff operate my event registration software?
Yes. Our staff are trained on all major event registration platforms including Eventbrite, Cvent, Bizzabo, Whova, and others. During the pre-event consultation, we familiarise ourselves with your specific software and workflows. If you use a custom or less common platform, we will schedule a training session beforehand.
What happens if equipment fails during my Hong Kong event?
Our senior technician handles all troubleshooting onsite. We also bring backup equipment for critical items such as badge printers and WiFi routers. If a device fails, the technician swaps it immediately, typically within minutes. For DIY and Supported packages, our support team can walk you through fixes via WhatsApp or dispatch a technician to your venue.
Can you support multi-day events?
Absolutely. Multi-day events are common for us: conferences, exhibitions, and roadshows in Hong Kong often run 2-5 days. Staff rotate in shifts, equipment stays onsite (secured overnight if needed), and we handle daily setup and teardown. Multi-day pricing is discounted compared to single-day rates.
Do your staff speak Cantonese and Mandarin?
Yes, our event registration staff are fluent in English, Cantonese, and Mandarin. This is essential for events in Hong Kong with international and local attendees. If you need staff with additional language capabilities (Japanese, Korean, etc.), let us know during consultation and we will do our best to accommodate.
