HKCEC Conference Badge Logistics: A Venue Guide
The Hong Kong Convention and Exhibition Centre (HKCEC) in Wan Chai is the city's flagship conference venue. Its size, multi-level layout, and tight security protocols create unique challenges for badge printing logistics. Here is what you need to know.
## Venue Overview
HKCEC has three main types of event space:
- **Exhibition Halls 1A to 1F (Old Wing, Level 1) and Halls 3B to 3G (New Wing, Levels 3 and 5):** Trade shows, large expos, registration setups for 1,000+ attendees.
- **Convention Hall and Grand Hall (New Wing, Level 1 and Level 3):** Plenary sessions, gala dinners, 2,000+ capacity each.
- **Theatre 1 and 2 (Level 1, New Wing):** Speaker sessions and ceremonies, 800 to 1,300 seats.
- **Meeting Rooms (Levels 2, 3, and 5):** Breakouts, board meetings, smaller side events.
Badge printing is typically set up at the **Concourse foyer** outside Halls 1A to 1F, the **New Wing main entrance** off Expo Drive, or the **Grand Hall pre-function area** for gala-style events.
## Delivery and Loading
### Loading Dock Access
- All equipment must enter via the **Expo Drive loading dock** (Old Wing) or the **Convention Avenue dock** (New Wing).
- Delivery vehicles need prior booking through HKCEC operations (HML, Hong Kong Convention and Exhibition Centre Management Ltd).
- Goods must be on trolleys, pallet jacks, or cages. Hand-carry through the public concourse is restricted during build-up.
- HKCEC security inspects all equipment entering the venue.
**Tip:** Book your loading dock slot two weeks in advance. HKCEC turns over halls quickly between shows and is strict about timing windows.
### Setup Timing
- **Day before (build-up day):** Preferred for events with 500+ attendees. HKCEC typically allocates a full build-up day.
- **Morning of:** Possible for smaller events using meeting rooms, but risky.
- **Same-day delivery:** Not recommended. Security and trolley queues can add 30 to 60 minutes.
## Power and Connectivity
### Power
- Standard UK-style 13A sockets (Type G, 220V). Hong Kong and the UK share this plug.
- Each registration desk station needs two to three sockets (printer, laptop, iPad charger).
- Bring power strips. HKCEC charges for additional power drops ordered through the official electrical contractor.
### WiFi
- HKCEC provides venue WiFi through its in-house network, but it is shared across all live events.
- For badge printing, bring a **dedicated 5G router** as backup. Hong Kong's 5G coverage inside HKCEC is strong on the Wan Chai-facing concourse and weaker in interior Hall 1A and 3D.
- Test WiFi speed at your registration desk location during the site visit, ideally on a build-up day when the network is loaded.
### Attendee Access
- HKCEC sits directly above MTR Wan Chai station (Exit A1 to the Old Wing concourse) and is a five-minute walk from the Wan Chai Ferry Pier.
- Star Ferry crowds peak at 08:30 and 17:30 on weekdays. If your event opens at 09:00, expect a 08:45 attendee surge through the Old Wing entrance.

## HKCEC-Specific Rules
1. **No open flames or naked heating elements.** Thermal printers are fine; fog machines and induction warmers need approval.
2. **Cable management.** All cables must be taped down or covered. HKCEC supplies cable covers on request through the official contractor.
3. **Signage restrictions.** Freestanding signs need approval and must comply with venue line-of-sight rules. Tabletop and counter-mounted signs are usually fine.
4. **Branding limits.** Sponsor branding on registration counters cannot obstruct emergency exit signage or fire equipment.
5. **Cleanup.** All equipment must be removed by the agreed move-out time. Overtime charges apply per hour and per dock slot.
